These Booking Terms and Conditions apply to all direct bookings made with The Clean Cottage Co Ltd ("we", "us", "our") for holiday accommodation managed across our portfolio. By making a booking or paying a deposit/invoice, the lead guest ("you", "your") agrees to these terms on behalf of all members of the party.
1. Booking & Payment Terms
Confirmation: A booking is only confirmed once cleared funds (deposit or full payment) have been received and a booking confirmation has been issued.
Payment Method: Payments are accepted via direct bank transfer or secure electronic invoice payment.
Security Deposit: A refundable damage deposit of £100 (*Varies per property, or as specified on your booking invoice) is due 7 days prior to arrival. This will be refunded within 7 working days post-checkout, subject to a satisfactory inspection of the property.
Lead Guest Requirement: The lead guest making the booking must be at least 21 years of age and authorised to accept these terms on behalf of all guests staying at the property.
2. Check-In, Access & Digital House Guides
Arrival & Departure Information: Specific check-in and check-out times, access codes, key collection instructions, and directions are provided in your personalised Digital House Guide prior to your stay.
Overstaying: Failure to vacate the property by the agreed checkout time specified in your guide without prior written approval may result in an additional charge deducted from your security deposit to cover operational costs and cleaning schedule disruption.
3. Occupancy & Permitted Use
Maximum Occupancy: The maximum number of guests permitted to stay overnight at the property must not exceed the limit specified in your booking confirmation. Exceeding this limit constitutes a breach of contract and local authority health, safety, and fire licensing regulations.
Prohibition of Parties & Events: Strictly no parties, stag/hen events, or unauthorised gatherings are permitted at any of our properties.
Quiet Hours: In respect of local residents and community noise guidelines under Denbighshire County Council regulations, quiet hours must be observed between 10:00 PM and 7:00 AM. Excessive noise during these times may result in immediate termination of your stay without refund.
4. Pet Policy (For Designated Pet-Friendly Properties Only)
Approval Required: Pets are strictly prohibited unless the property is explicitly designated as "Pet-Friendly" and the pet has been disclosed and accepted as part of your booking.
House Rules for Pets:
Pets must not be left unattended inside the property or garden areas at any time.
Pets are strictly prohibited from upstairs areas, soft furnishings, beds, and carpeted bedrooms.
Guests are required to thoroughly clean up after their pets in all outdoor, garden, and patio areas.
Pet Damage & Extra Cleaning: Guests are fully responsible for any damage, carpet staining, or excessive pet hair requiring deep cleaning, the cost of which will be deducted from the security deposit or billed directly.
5. House Rules & Safety
No Smoking or Vaping: Smoking, vaping, or the use of e-cigarettes is strictly prohibited inside all parts of the property. Any evidence of smoking indoors will incur an automatic £150 specialist deep-cleaning fee deducted from the security deposit.
Fire Safety & EV Charging: Guests must comply with all posted safety instructions and UK Fire Safety regulations provided in the Digital House Guide. Charging Electric Vehicles (EVs) from standard 13A domestic wall sockets is strictly prohibited due to fire hazards unless the property is fitted with a dedicated EV charging unit.
Waste Disposal: Guests must follow the property-specific waste and recycling separation rules (General, Plastics/Cans, Paper/Cardboard, Glass) outlined in the Digital House Guide, in accordance with Denbighshire County Council waste management bylaws.
6. Guest Responsibilities & Damages
Care of Property: You agree to keep the accommodation and all furniture, fixtures, fittings, and appliances in reasonable condition and leave the property in a clean and tidy state upon departure.
Breakages & Damage: You are legally responsible for repairing or replacing any damage, breakage, or loss caused to the property or its contents by any member of your party or permitted visitors.
Reporting Issues: Any pre-existing damage or maintenance issues identified upon arrival must be reported to The Clean Cottage Co Ltd within 24 hours of check-in to ensure prompt resolution.
7. Cancellations & Amendments
Guest Cancellations: All cancellation requests must be submitted in writing. Cancellation fees or refund eligibility will depend on the rate tier selected at the time of booking, as detailed on your invoice.
Cancellations by Us: In the rare and unforeseen event that a property becomes uninhabitable or unavailable due to circumstances beyond our reasonable control (e.g., severe structural damage, utility failure, or emergency maintenance), we will attempt to relocate your booking to an equivalent property in our portfolio or issue a full refund of all monies paid. We accept no further liability beyond the full refund of booking fees.
8. Liability & Force Majeure
Personal Belongings: We accept no responsibility or liability for the loss, damage, or theft of any personal belongings, vehicles, or valuables brought onto the property by guests. We strongly advise all guests to obtain comprehensive travel insurance.
Personal Injury: We do not accept liability for any personal injury, illness, accident, or death occurring at the property, except where caused by our proven negligence or wilful default.
Force Majeure: We cannot accept liability or pay compensation where the performance of our obligations is prevented or affected by force majeure events, including extreme weather conditions, natural disasters, failure of public utilities (water, gas, electricity, broadband), government regulations, or unexpected local council interventions.
9. Governing Law & Local Jurisdiction
These Booking Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any legal dispute arising in connection with a booking shall be subject to the exclusive jurisdiction of the courts of England and Wales.
